Role Purpose: This role will be responsible for providing best in class customer service to the large range of client account holders to include efficient responses to all queries.

Responsibilities:
  • Provide excellent customer service to all HRI clients, handling a large volume of queries and issues in confidence at all times.
  • Distribution of prizemoney from Weatherby’s UK & France Galop on a monthly basis
  • Processing cash and journal receipts to accounts on a daily basis.
  • Payment of Third-Party Invoice on behalf of Clients via Banking online
  • Assisting the team during the development of the Racing Administration System - RÁS.
  • Updating client account records and general account administration.
  • Carry out credit control processes on overdue accounts & assist in quarterly output of Forfeit List
  • Assist in processing the non-payers foal levy and liaising with the industry services department.
  • Liaising with other Industry related Bodies
  • Undertaking and completing various reconciliations including Bank Reconciliations as required.
  • Weekly Audit of all Journals
  • Other duties and ad hoc project involvement as required.

The Tote On Course Operations Lead will report to the Operations Manager in all aspects of Tote service delivery on course and be a key member of the race day team to ensure specific business targets and KPIs are met. The Tote On Course Operations Lead will lead and direct the Casual Staff for specific race meetings and will play a key role with Tote Ireland to ensure the on-course operations functions is performing optimally.

Key Responsibilities:
  • To manage the casual staff requirements for specified race meetings to the highest standards of performance across all racecourses (including Down Royal and DownPatrick).
  • Lead on delivery of excellent customer experience and delivery of optimum sales targets. Support and lead technological advances for best-in-class customer service.
  • To ensure messaging and service delivery on course is aligned with brand and consistent with customer expectations.
  • To deliver required KPIs and optimum customer experience for all customers.
  • Responsible for the optimum delivery of the new system and transfer that knowledge to end users.
  • Responsible for the provision, deployment and maintenance of the On-Course solution and infrastructure to support the operational needs at each race meeting.
  • Provide support before during and after race day fixtures, enabling end users to carry out their roles efficiently, productively, and securely, responding in real time to end users for On Course solution related issues e.g. troubleshoot any end users’ issues, ensure operational continuity across POS devices, till roll management etc.
Technology, Logistics & Operations
  • Pre-Racing Fixture Responsible for all activities involved in advance set up for each racing fixture, which includes checking the racecourse network operations online portal, ensuring the facilities, materials, training and product knowledge portal are in place to support the successful operation of the Tote business at each race meeting.
  • Ensuring that sufficient equipment (i.e. terminals/TVs and stands/Clover Devices/Cashier Laptop etc) are on site for each race meeting including all key festival setups i.e. determine infrastructure requirement specific to each race day, transport equipment to track and deploy in timely manner prior to racing.
  • Ensuring on course graphics and screen layouts/advertising confirmed and approved for go live. Identifying and resolving any issues, keeping relevant stakeholders informed of status and outcome.
  • Preparation of the float requirements and arranging the set-up of mobile kiosks Race Day Activities.
  • Be single point of contact for ensuring the smooth operation of all Tote activities on course and to provide leadership and direction to all Tote staff.
  • Mapping of on course TVs to required channels and outputs.
  • Responsible for cash management – receiving, storing, sorting, signing off cash.
  • Deploying terminals to pre-defined locations and ensuring connections to the LAN. Running pre-defined checks and ensuring the technological infrastructure is operating effectively and resolving any issues which arise.
  • Compliance Implement AML procedures as per statutory guidelines ensuring all staff adhere to the requirements.
  • Carrying out the necessary risk assessments to ensure our people take reasonable care for the health and safety of themselves and of the persons who may be affected by their activities.
  • You must cooperate with the Company to enable us to meet our legal duties.
  • Ensure that the compliance of health & safety legislation is at the forefront of all activities at each Tote location on the course.

Performance Delivery
  • Ensure relevant KPIs are met, optimizing staff deployment, driving continuous improvements to ensure efficiency while delivering exceptional customer experience. Identification and resolution of issues, i.e. technological or operational issues.
  • Provide debrief report to the Operations Manager and the Tote management team following each day’s racing.
  • Maintain effective communication with relevant key stakeholders.
  • Regularly reviewing processes and systems to identify better ways of working.

People Management
  • Work closely with the Resource Coordinator to ensure appropriate resourcing for each day, having regard for delivery of an exceptional customer experience, achievement of sales targets and managing resource budget.
  • Responsible for identifying training needs for Casual Staff, regularly providing coaching and upskilling of staff, ensuring our people are working to optimal levels and in line with our values.
  • Regular communication with staff, including providing regular team updates throughout the day on team performance delivering a team briefing at the beginning of each race fixture.

This role profile is a guide to the work you will be initially required to undertake. You will be required to be flexible and perform other duties as required by your manager.

Skills and Experience:
  • Strong technical knowledge and aptitude with ability to become subject matter expert in relevant technology platform.
  • Previous experience of driving sales, with the ability to sell in a fast-moving environment and deliver KPIs.
  • Knowledge of betting.
  • Excellent customer service skills with the ability to build good relationships.
  • Previous experience of managing people, including a casual and transient workforce. Excellent interpersonal and communication skills with the ability to manage a multiple number of stakeholders.
  • A self-starter who is deadline driven, results oriented and solution focused.
  • Have a good understanding of the annual financial budgets and ability to manage costs appropriately and KPIs to budget.
  • Fully conversant of relevant AML procedures and ability to implement same.
  • Excellent organizational skills and attention to detail with the ability to work with large or multi-site venues.
  • Previous experience of successfully delivering change programs would be an advantage. Knowledge of racing would be an advantage.
  • A full driving clean licence is essential as role involves extensive driving.

The successful candidate will be required to work weekends, Bank Holidays and evenings and will be required to spend short periods of time away from home to support racing and customer needs. They will also be required to undertake relevant activities necessary to promoting the brand.

Position: Stall Handler (Casual Panel)

Role Summary: As a Stall Handler, your primary responsibility is to assist with loading the correct horse into its designated stall before the start of a flat race. You’ll ensure the safety of both the horse and rider in the stalls while managing the activity in a timely and orderly manner.

Main Duties:
  • Travel to race meetings based on an assigned rota.
  • Meet with the team leader on-site and receive instructions for the specific race meeting.
  • Assist in moving stalls and stalls testing before racing begins.
  • Set up stall numbers and banners.
  • Work as part of a team under the instruction of the starter.
  • Load and secure horses into the starting stalls.
  • Foster positive relationships with team members, jockeys, and other industry personnel.
  • Any other appropriate duties consistent with the role, and training, that may be assigned from time to time.
Education, Knowledge, Skills required:
  • Significant experience and confidence in handling thoroughbred horses.
  • Equine knowledge, including horse care, welfare, and horsemanship skills.
  • Ability to work safely to tight deadlines, demonstrating flexibility during busy periods.
  • Excellent teamwork skills.
  • A record of demonstrating and working on their initiative.
  • An adaptable and flexible approach to work.
  • Good communication skills.
  • Knowledge of health and safety regulations.
